Job Title: Contracts Coordinator

Summary
Role requires interaction and coordination with internal teams as well as communication with the agent representatives for Upper Deck’s athlete’s, artists, and other talents.  Duties include: Talent payment processing; JD Edwards contract account set-ups; preparing account contract reconciliation reports; general account maintenance and administration; tracking signature usage; creating/maintaining related product spreadsheets; and assisting with miscellaneous projects.
 
Essential Duties and Responsibilities
The following statements are intended to describe the general nature and level of work being performed by an individual assigned to this job. Other duties may be assigned.
·         Processing of all approved talent payments by weekly deadlines
            o    Generate JD Edwards back-up for approved payments
            o    Create check requests with executed agreement back-up
            o    Create PayPal talent payment requests with back-up
            o    Coordinate the same with Athlete Relations and Accounts Payable teams to ensure all   
                  payment activities are completed on-time and accurately
·         JD Edwards account set-up for all new talent contracts
·         Maintain accuracy of talent accounts in JD Edwards, and SAM Tracker systems
·         Create release purchase orders for signature variances required by our North Carolina 
          operations department
·         Close open purchase orders resulting from signature shortages returned by talent
·         Vendor set-up, invoice data entry, maintenance of invoice files for network of signing 
          representatives
·         Track and entry of all talent W9/W8 tax forms
·         Handling of inquiries from talent regarding agreement status, payments, signatures remaining, 
          and other agreement-related issues.
·         File Certificates of Authenticity for signatures obtained from talent.
·         Other duties as assigned.
 
Education/Years Experience
·         High School Diploma or equivalent.  College Degree preferred.
·         2+ years of related coordinator and/or administrative experience in a fast-paced environment; 
          experience supporting a legal group and knowledge of basic accounting preferred.
 
Knowledge, Skills and Abilities
·         Experience with JD Edwards system preferred
·         Competent knowledge of commonly used contract coordination and administrative support 
          concepts, practices, and procedures.
·         Knowledge of basic accounting and budgeting with the ability to utilize database software.
·         Practical math skills.
·         Strong oral and written communication skills.
·         Strong interpersonal, problem solving, troubleshooting, customer service and relationship 
          building abilities.
·         Strong organizational and proofreading skills with the ability to handle multiple, high priority 
          projects with a keen attention to detail.
·         Professional demeanor; team player orientation.  Ability to interface with internal and external 
          parties.
·         Relies on instructions and pre-established guidelines.  Works under immediate supervision while 
          exercising minimal independent judgment.
·         A high degree of confidentiality required.
·         Hands on, energetic and motivated self-starter.
·         Ability to type 65+ WPM.  Accurate data entry abilities.
·         Ability to pass pre-employment testing, credit, criminal and civil background investigations, 
          employment verifications and physical/drug screens.
·         Proficiency in the following software or systems:  MS Office.
